Inter-Campus Mail

Inter-campus / U.S. mail is picked up daily by Distribution Services.

  • Inter-campus mail tubs and bags must be in one designated front office area. The mail drivers will provide inside service only to this designated area.
  • Plastic Tubs are provided by Distribution for normal transport of Print Jobs (Gray tub) and Instructional Media Materials and Library books (Green tub).
  • Mail bags and red or blue tubs (depending on campus) are for inter-campus and outgoing U.S. mail.
  • Small boxes will only be picked up at the driver’s discretion. All large boxes or other items should be requested for pick up on a work order.
  • No glass or liquid is allowed in the mail at any time.
  • Expectation for inter-campus mail is next business day delivery.
  • DO NOT SEND VALUABLES IN INTER-CAMPUS MAIL. We cannot be responsible for lost items.

Address expectations for inter-campus mail:

  • NO abbreviations for campuses. Please spell out the name of the campus.
  • There is NO Central Admin mail box. Please use the Admin Mailbox list to properly address items being sent to the Admin office.
  • Library books should be placed in Green tubs only. Do not send library books in inter-campus mail bags, or they will be returned to your campus.
  • Any item not properly addressed will be returned to sender, delaying delivery of your items.
Outgoing U.S. Mail

Distribution will meter envelopes for your campus. Please ensure your return address or department code is on the top left of the envelope, so that we can properly charge it to your campus. Our mail machine can also seal envelopes at the same time that it meters them. However, there are a few guidelines for this:

  • You must ensure that all items are securely in the envelopes and not sticking out, even the smallest bit. This causes the machine to jam, possibly ruining your mail items.
  • We can NOT seal the 6″ x 9″ envelopes, or any side-sealing envelopes. They will be returned to your campus.
  • We can NOT seal OR POST any envelopes with a metal clasp. These must be removed, or completely taped over with packing tape.

You may hand deliver time sensitive mail to the Distribution Center if you miss the daily mail pick up. It must arrive by 3:00 p.m. in order to be metered the same day.

Bulk Rate/Permit Mail

The District has a mailing permit to mail bulk items. This can greatly reduce the price of postage. To use this service, there are several strict guidelines:

  • There is a minimum of 200 pieces, or 50lb weight.
  • Items must all be identical. You cannot use this to send out material that would be considered unique, such as report cards, test scores, schedules, etc.
  • Items must be printed with the District’s indicia (Permit Stamp) already in place. This should be done through the District’s print shop. Please email print_services@roundrockisd.org for questions regarding printing.
  • You will have to take the mail to the post office on Double Creek Dr. with your PCard to pay for the postage at the time of drop off. All reports are required to be sent to distributioncenter@roundrockisd.org for cost tracking purposes.

This service will save money if you are mailing a LARGE amount of identical items. The more items you are mailing, the greater the discount. It is a bit of a process, so is only recommended when you have a substantial mail out where the cost savings is worth the extra time of taking mail to the post office, as it is not a quick process.

UPS/FedEx Shipments

Distribution does not handle UPS or FedEx shipments. You can purchase shipping labels and schedule pick-up online at either the UPS or FedEx websites.
